Items and stock
An item is something you count. Items belong to a team, and their total quantity is the sum of the quantities in all storages.
Add an item
Section titled “Add an item”Enter a name in Add Item. The description and low-stock threshold are optional. Only the name is required; you can fill in the rest later on the item details page.
If you already have a list when setting up, use Add many at once. Paste one item per line to create them together. Add photos, alert thresholds, and other details to each item afterwards.
Record stock quantities
Section titled “Record stock quantities”Stock always exists somewhere. When adjusting it, select the storage and enter the amount to add or subtract. Positive amounts replenish stock; negative amounts record consumption. The item total is recalculated across all storages that hold it.
Each row has ±1 buttons for everyday actions such as taking one item or putting one back. Make larger adjustments on the item details page.
Low-stock alerts
Section titled “Low-stock alerts”You can set an alert threshold for an item. When the total reaches or falls below that value, Tana marks it as low stock, shows it on the dashboard, and can notify the team. New items use the default threshold in team settings. Set it to 0 to disable alerts for that item.
Find items
Section titled “Find items”Search matches item names, descriptions, and IDs. You can also sort items or use gallery view. If your items have photos and are easier to recognize by appearance than by name, gallery view can help.
Export data
Section titled “Export data”Download CSV exports the currently displayed list with its filters applied. Search for what you need first to export only those results.
