Your first team
A team defines the scope of everything. Items, storages, locations, members, and history all belong to a team. Nothing is shared between teams, and you can belong to more than one. Use the switcher at the top of the dashboard to move between them.
Create a team
Section titled “Create a team”Sign in and create a team to become its owner. A team needs a name and a time zone. Weekly and monthly reports use that time zone, so choose the one where your stock is located, rather than where you happen to be.
Invite members
Section titled “Invite members”There are two ways to invite people, with different behavior.
An invitation is addressed to one email address. Tana creates a link and displays it once. The link expires, and the person opening it joins the team with the specified role.
A join link is a reusable link shared within a team, suitable for printing and posting. People who follow it cannot join immediately; they enter a waiting list for approval. An owner or admin must approve them on the Members page before they can access the team. Use this when you do not know invitees’ email addresses in advance.
| Roles | What you can do |
|---|---|
| Owner | All actions, including deleting the team. A team must always have at least one owner. |
| Admin | Manage members, change settings, and perform all stock operations. |
| Member | Add and adjust stock. Cannot manage members or change settings. |
Roles are per team. Being an owner of one team does not affect your role in another.
Team settings
Section titled “Team settings”Team settings contain the options everyone shares: the team name, time zone, default low-stock threshold for new items, and team color theme. Language and light/dark mode are personal preferences in account settings and apply across teams.
