Low-stock alerts
Set a threshold on an item, and Tana lets you know once the total quantity reaches or falls below it. Instead of noticing after you’ve run out, you find out while there’s still time to restock.
Setting a threshold
Section titled “Setting a threshold”Enter a threshold in Alert when total at or below on an item’s details page. Set it to 5, for example, and you get an alert once the total across all storages reaches 5 or less. Set it to 0 to turn off alerts for that item.
It also helps to fill in How to reorder, so you know how to restock when the alert arrives.
How to set thresholds and adjust them for busy seasons is covered in the articles Seasonal inventory and How to reduce inventory costs.
Team default
Section titled “Team default”New items start with the Default low-stock alert in Team settings. Set it to a value you use often, and you won’t need to configure each item individually. A threshold set on an individual item always takes priority over the default. Only owners and admins can change the default.
When an alert arrives
Section titled “When an alert arrives”- It appears under “Low stock” on the team’s home page.
- You’re notified by email and push. Even if stock keeps moving, you won’t get repeat alerts for the same item.
- If Slack is connected, it can post to a channel too (see Team settings).
Select Only what’s running low on the items list to see just the items at or below their threshold.
Restocking
Section titled “Restocking”Use shop links on the item’s details page to search for it on your local online stores. When it arrives, record the stock to clear the alert.
Recurring reports
Section titled “Recurring reports”Turn on Weekly report email under Notifications in team settings to get a summary of the team’s activity and most-used items. See Notifications for notification settings.
