Recording stock
Stock is always somewhere. Tana records an item’s quantity per storage, and its total is the sum across every storage that holds it.
Adjusting one at a time
Section titled “Adjusting one at a time”The items list and details page have − and + buttons. Everyday actions like taking one or putting one back are recorded with a single press. You can’t press − when stock is at 0.
If an item is kept in more than one storage, choose which storage to change before recording.
Setting an exact count
Section titled “Setting an exact count”When you’ve physically counted stock for a stocktake, use the = button between − and + (Set quantity). Enter the counted number, and it replaces the total directly instead of computing a difference.
How to prepare for a stock count and the steps for counting are covered in the article Stock count sheet.
Moving stock to another storage
Section titled “Moving stock to another storage”To move stock to another storage, decrease it at the source and increase it by the same amount at the destination. Both actions stay in the history, so you can trace where it moved from and to later.
Recording a scheduled refill
Section titled “Recording a scheduled refill”For something ordered but not yet arrived, record the expected date and quantity from Arriving later? Schedule it. On that date, you get a reminder to confirm — if it has arrived, add it to stock with one tap. If not, you’ll be reminded again, and you can cancel it if it’s no longer needed.
Making it a habit
Section titled “Making it a habit”Stock counts are most accurate when the person who used something records it on the spot. Put a QR label on a shelf so it can be recorded with a quick scan. Invite members so everyone on the team can record it.
